About the job
Reporting to the Staff Planning Manager, this SPECIALIST role is tasked to secure the timely posting of the schedules that deliver to the needs of the store while continuously seeking and coordinating business opportunities through optimized staff planning focused on our co-worker, customer and business.
Your assignment
• Responsible for the utilization of scheduling solutions, and ensuring they reflect optimized staff planning practices.
• Aware of the people strategy and ensuring the regional and local principles/guidelines are reflected in our co-workers schedules by providing expertise, support and training of end-users in scheduling.
• Support the Staff Planning Manager in administrative elements associated with schedule creation and management.
• Contributing to the safeguarding of the stores complete staff planning process from forecasting to execution of the schedule, by timely posting draft schedules, ensuring scheduled hours include planned absences, liaising on development of final schedules with department managers sustaining co-worker, customer and business needs.
• Support department managers on a frequent basis to support in the development, adaptation and improvement of quality schedules that are within the forecasted hours and have updated co-worker availability and skill levels.
• Responsible for following up on the store staff planning process from forecasting, where highlighting commercial influences are taken into consideration, to following up that schedules comply with all labour rules and internal requirements.
• Identify possible improvements in the store staff planning process, identify and escalate possible impairment of the staff planning process when the scheduled or actual hours exceed the agreed financial framework to the staff planning manager.
• Continuously monitor on staff planning related KPIs, produce schedule related reports.
Qualification
Your profile
• Staff scheduling experience.
• Experience working in a customer-focused service industry, preferably retail.
• Experience with and knowledge of scheduling software used in the store.
• Good personal disciplines and an ability to work within set deadlines.
• Computer proficiency with intermediate MS Excel skills.
• Ability to take and analyse complex data and make it simple, relevant and understandable for decision makers.
• Possess good speaking, reading and writing skills in the native languages of your store and good communication skill in English as well.
• Ability to adjust the style of communication to get the message across to the receiver and to give open and honest feedback.
• Self-reliant, motivated and resilient with proven ability to work as part of a team as well as independently.
• Ability to inspire and influence others to see future possibilities.
• Demonstrate the IKEA values in the ways of working and communication.
