    • Exceptional verbal communication skills, enabling you to clearly and calmly convey information, even in urgent situations.
    • The ability to manage multiple tasks efficiently, adapt to changing priorities with ease, and maintain excellent organizational standards.
    • Confidence in using computers and IT systems, with solid administration and reception skills, including a strong focus on meticulous record-keeping, incident reporting, and compliance documentation.
    • A proactive, solution-focused mindset, eager to contribute to a positive and compliant environment.
    • A collaborative approach, enjoying teamwork and actively supporting your colleagues and internal stakeholders.
    • A passion for maintaining a safe and secure environment, with a commitment to leading by example, and a willingness and ability to obtain a Certificate of Approval (COA), First Aid & CPR certifications if required.

    About this work area

    As an Administrative & Compliance Co-worker, your responsibilities will include, but are not limited to:
    • Being the friendly and professional first point of contact for visitors, contractors, and co-workers, efficiently managing access to and from the store or external warehouse.
    • Providing comprehensive administrative support for risk prevention and compliance activities, including coordinating audits, managing incident reporting, maintaining databases, and ensuring accurate record-keeping.
    • Collaborating with internal stakeholders across all departments to ensure health, safety, and security standards are consistently met and understood.
    • Supporting store compliance with IKEA policies, local regulations, and relevant legislation to protect our people, assets, and brand, with a focus on administrative oversight.
    • Providing timely and relevant feedback on reported incidents and acting as the key contact for internal and external case reporting, ensuring all documentation is precise.
    • Assisting with the response to and management of emergency situations, health and safety incidents, and critical events, ensuring protocols are followed.
    • Monitoring CCTV systems and responding promptly to alarms, initiating emergency procedures when required, with a focus on procedural adherence.
    • Promoting a strong risk and compliance culture by identifying and implementing systems to reduce business loss, prevent incidents, and minimise financial impact.
    • Working on a rotating roster, including evenings and weekends, alongside your Facilities Management (FM) colleagues to ensure coverage for the IKEA store and external warehouse.

    What you need to know

    • This role is permanent, part-time, 24-39 working hours per fortnight.
    • The internal title for this role is Unit Business Risk & Compliance Co-worker.
    • Whilst a current Certificate of Approval (COA), First Aid & CPR certifications are not essential to be successful in the role, a willingness and ability to obtain these licenses & certifications if required in the future is essential.
    • Direct control room experience is a valuable asset, though not a prerequisite.
    • As our store operates 7 days a week, you’ll need to be available to work on a rotating roster, which includes a mix of day and evening shifts aligned with our trading hours. Weekend availability is essential.
    • Work locations include IKEA Sylvia Park and our External Warehouse in Māngere.
    • As part of the recruitment process, final candidates will be required to undergo a pre-employment check, including a Ministry of Justice (MOJ) check.
    • IKEA is a non-smoking workplace.
