About the area
Inter IKEA Group is organised in three core businesses - Range, Supply and Retail Concept - and five enabling functions. Together we contribute to the success of IKEA and share responsibility for the franchise offer.
The enabling functions lead key common activities in networks across Inter IKEA Group, as well as cover specific needs for the core businesses. The five Enabling functions are Operations Management, Business Performance & Support, Communication, Sustainability and People & Culture.
About the job
We are seeking a detail-oriented and proactive Enterprise Architecture Support Specialist to join our dynamic Technology and Platform Architecture team. In this role, you will assist our enterprise architects in developing, maintaining, and implementing architecture strategies that align with our organisation's goals. This position is ideal for a junior professional with a passion for IT and a desire to grow in the field of enterprise architecture.
Key Responsibilities:
- Assist in the development and maintenance of enterprise architecture frameworks and models.
- Help document and update architecture artifacts, including diagrams, roadmaps, and technical specifications.
Project Coordination:
- Coordinate project activities, ensuring timelines are met and resources are appropriately allocated.
- Assist in tracking the progress of enterprise architecture initiatives and report on milestones.
- Support the preparation of project plans, status reports, and stakeholder presentations.
Documentation Management:
- Take a lead role in gathering, organising, and presenting documentation utilising platforms like SharePoint and Confluence.
- Ensure meticulous attention to detail in maintaining the accuracy, completeness, and accessibility of project-related documentation.
- Prepare and maintain architecture documentation, ensuring it is accurate, up-to-date, and accessible to relevant stakeholders.
- Conduct basic data analysis and contribute to the creation of models that support architectural decision-making.
Tool Management:
- Assist in managing and administering enterprise architecture tools and software.
- Provide support to team members in using these tools effectively.
Stakeholder Collaboration:
- Collaborate with IT teams, business units, and external vendors to gather requirements and ensure alignment with Architecture goals.
- Facilitate communication between technical and non-technical stakeholders to support project delivery.
Learning and Development:
- Stay informed about emerging technologies and industry trends related to enterprise architecture.
- Participate in training and development opportunities to build expertise in enterprise architecture frameworks and methodologies.
Essential Duties and Responsibilities:
- Collaborate with IT leaders and other Architects across Inter Ikea Group, to define and facilitate ways of working activities, as part of on-going planning and governance.
Process Optimisation:
- Analyse existing processes and identify opportunities for improvement.
- Design and implement streamlined and standardised ways of working to enhance efficiency and effectiveness.
Cross-Functional Collaboration:
- Collaborate with teams across the organisation to understand their unique needs and challenges.
- Develop and implement ways of working that foster collaboration and communication among cross-functional teams.
Change Management:
- Lead change management initiatives to ensure smooth adoption of new ways of working.
- Provide guidance and support to teams as they transition to updated processes.
Continuous Improvement:
- Establish and monitor Objectives and Key Results (OKR’s) to assess the success of ways of working initiatives.
- Drive a culture of continuous improvement, regularly reviewing and refining processes.
Facilitate Architecture Community:
- Cultivate an environment that encourages knowledge sharing and collaboration within the architecture community.
- Organise forums, workshops, and events to facilitate discussions and idea exchange among architects.
- Play a central role in scheduling and coordinating meetings, ensuring the availability of necessary documentation and resources.
- Collaborate with team members to facilitate effective communication before, during, and after meetings.
About you
To be successful in this role, the following knowledge, skills and experiences would be valuable:
- Experience in Consumer Goods, Manufacturing and Retail experience strongly desired.
- Proficiency in process management, technology evaluation, project management and business intelligence.
- Experience leading Ways of Working implementations to a successful conclusion.
- Clear understanding of the software development lifecycle (SDLC) and project and business process management methodologies and tools.
- Excellent written and verbal communication skills and presentation skills.
- Ability to serve as a change agent and influence direction.
- Ability to work effectively in a global and matrixed environment.
Education:
- Bachelor's degree in information technology, Computer Science, or a related field (or equivalent experience).
Experience:
- 1-3 years of experience in an IT-related role, with exposure to Enterprise Architecture or Project Management being advantageous.
- Experience in a support or coordination role within an IT environment is preferred.
Skills:
- Basic understanding of enterprise architecture frameworks (e.g., TOGAF, Zachman).
- Proficiency in using IT tools such as MS Office, Visio, and enterprise architecture tools (e.g., ArchiMate, Sparx EA).
- Strong organisational skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work effectively in a team and manage multiple tasks simultaneously.
Certifications:
- TOGAF Foundation, ITIL, or PRINCE2 Foundation certification (preferred but not required).
- Optional: Recent graduate with a keen interest in administrative roles, IT Architecture, and project management.
More Information
This role is full-time (40 hours per week) and based in Malmö, Sweden or in Delft, Netherlands.
This role sits in the Operations Management (T&P Architecture Team) and reports to the Architecture Manager.
